What We Collect
Your data is collected electronically, directly from you, when you complete and submit the website Contact / Enquiry form. Depending on what you choose to provide, this may include: your first and last name; email address; phone number; company/organization name; job title; company website; country; the enquiry category you select; the subject and message you write; and, if you choose to attach one, a project document or file. We do not request or require any special-category personal data through this form.
Why We Process It
We process this data to: receive and evaluate your enquiry; contact you in response; direct product, sales, software, Immersion Cooling R&D or partnership requests to the relevant team; assess technical or project requirements you describe; manage related pre-contractual or business communications; and keep the correspondence records necessary to do so.
Legal Grounds
Depending on the nature of your enquiry, we rely on one or more of the following conditions under KVKK Article 5/2: processing directly related to the establishment or performance of a contract, where your enquiry concerns a potential commercial engagement; our legitimate interest in responding to and managing business enquiries, provided this does not harm your fundamental rights and freedoms; and the establishment, exercise or protection of a legal right, including keeping business correspondence records. We do not rely on your explicit consent as the legal basis for this ordinary enquiry-handling process — the acknowledgement checkbox on the form confirms that you have read this notice, not that you are granting consent.
Who We May Share It With
Your information may be shared with authorized IglooRack personnel and the internal department relevant to your enquiry category (for example, Sales or R&D), and with IT, hosting and email service providers who technically operate our website and email systems on our behalf, acting as our data processors. We do not sell or rent your information to third parties. [To be confirmed: whether any of these service providers process data outside Türkiye — this section will be updated once IglooRack’s hosting/email infrastructure has been reviewed for this purpose.]
International Transfers
IglooRack has not yet completed a formal review of whether personal data submitted through this form is transferred outside Türkiye — for example through hosting, email or cloud infrastructure providers. This section, including the applicable KVKK Article 9 transfer mechanism if relevant, will be completed once that review is finalized. This notice should not be read as confirming that data is, or is not, transferred abroad until this section is updated.
Retention
IglooRack has not yet finalized a specific retention period for enquiry data. Personal data is retained only for as long as necessary for the purposes described above and any applicable legal obligations, and is deleted, destroyed or anonymized thereafter. A specific retention period will be confirmed and published here.
Your Rights
Under KVKK Article 11, you have the right to: learn whether we process your personal data; request information about that processing; learn the purpose of processing and whether it is used accordingly; learn who we share your data with, in Türkiye or abroad; request correction of incomplete or inaccurate data; request deletion or destruction of your data where the legal conditions are met, and request that such correction or deletion be notified to anyone we shared it with, where applicable; object to a result that is to your detriment arising solely from automated analysis of your data; and claim compensation if you are harmed by unlawful processing.
